1. Information We Collect

Assignment Desk collects information you provide when booking crew services, creating a profile, or contacting us. This may include your name, email address, phone number, company name, and project details. When you use our platform as a crew member, we may also collect tax identification information (W-9 or W-8BEN), banking details for payment processing, and insurance documentation.

We also automatically collect certain information when you visit our website, including your IP address, browser type, operating system, referring URLs, pages visited, and the date and time of your visit. This information is collected via cookies and similar tracking technologies as described in Section 8 below.

2. How We Use Your Information

We use the information collected to match you with appropriate crew members, process bookings, generate and manage invoices, facilitate payments, communicate about your projects, and improve our services. We may also use your information to send transactional communications (shoot confirmations, billing notifications, security alerts) and, with your consent, marketing communications about new features, services, or content.

3. Third-Party Integrations

Assignment Desk integrates with third-party services to operate our platform:

  • QuickBooks Online (Intuit) — For accounting, invoicing, and payment processing. When you use our services, certain information — such as your name, company name, invoice details, and payment records — may be shared with QuickBooks Online to create customer records, generate invoices, and process payments. We access QuickBooks data through Intuit's secure OAuth 2.0 authorization protocol. We only request access to accounting data necessary to operate our invoicing and payment workflows. We do not sell, rent, or share your QuickBooks data with any parties other than Intuit for the purposes described above. Upon disconnection of the QuickBooks integration, all access tokens are immediately revoked.
  • Google Calendar — Crew members may optionally connect their Google Calendar to synchronize availability and shoot schedules. We access Google Calendar data solely for scheduling functionality. Assignment Desk's use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not store Google Calendar data beyond what is necessary for scheduling functionality, and we do not share Google Calendar data with third parties.
  • Stripe — For payment card processing. Assignment Desk does not store, process, or transmit payment card data directly. All card processing is delegated to Stripe, a PCI-DSS Level 1 certified payment processor. See Stripe's privacy policy for details on how they handle your payment data.

4. Data Security

We implement industry-standard security measures to protect your personal and financial information. All data transmitted between our platform and third-party services is encrypted in transit using HTTPS/TLS. OAuth tokens used to connect to QuickBooks and Google are encrypted at rest using AES-256-GCM encryption. Access to financial data and integration settings is restricted to authorized administrators through role-based access controls (RBAC).

5. Data Retention

We retain your personal and financial information for as long as your account is active or as needed to provide our services, comply with legal and tax obligations, resolve disputes, and enforce our agreements. Invoicing and payment records are retained in accordance with applicable tax and accounting regulations. If you request deletion of your account, we will remove your personal information except where retention is required by law.

6. Your Rights

You may request access to, correction of, or deletion of your personal information at any time by contacting us at privacy@assignmentdesk.com. If you are a crew member, you may update your profile information through the platform. If you wish to revoke our access to your QuickBooks data, an authorized administrator can disconnect the integration at any time through the platform settings, which immediately revokes all access tokens. 8. Cookies and Tracking Technologies

Assignment Desk uses cookies and similar tracking technologies to operate the Service, analyze usage, and deliver advertising.

Essential Cookies

Session management, authentication, security tokens, and CSRF protection. These cannot be disabled without breaking core functionality.

Analytics Cookies

Google Analytics (via Google Tag Manager, container ID: GTM-WHJ2NMVD) collects anonymized usage data including pages visited, time on site, referral source, and device information. Data is processed by Google under their privacy policy.

Advertising Cookies

Facebook Pixel (ID: 1116392228396450) tracks conversions and enables retargeting. Google AdSense may serve personalized advertisements based on browsing behavior.

Consent Management

EU/EEA/UK visitors are presented with a cookie consent banner and must affirmatively accept or reject non-essential cookies before they are activated (Google Consent Mode v2). US visitors' consent is managed through the “Your Privacy Choices” link available to residents of applicable states.

Managing Cookies

You may control cookies through your browser settings. Blocking essential cookies may impair Service functionality. You may opt out of Google Analytics by installing the Google Analytics Opt-Out Browser Add-On. You may opt out of Facebook tracking through Facebook's ad settings.

9. Do Not Track

Some browsers transmit “Do Not Track” (DNT) signals. Assignment Desk recognizes the Global Privacy Control (GPC) signal as a valid opt-out of sale/sharing under applicable state privacy laws. DNT signals from browsers that are not GPC-based are not universally standardized and are not currently acted upon, except to the extent that GPC is interpreted as a DNT mechanism under applicable law.

10. Children's Privacy

The Service is not intended for use by individuals under the age of 18. Assignment Desk does not knowingly collect personal information from children under 18. If you are a parent or guardian and believe your child has provided personal information to Assignment Desk, please contact us immediately at privacy@assignmentdesk.com. Upon verification, we will promptly delete such information from our records.

11. International Data Transfers

Assignment Desk stores and processes data in the United States (AWS us-east-2, Ohio). If you access the Service from outside the United States, your personal information will be transferred to, stored in, and processed in the United States. By using the Service, you consent to this transfer. We rely on contractual necessity (performance of our agreement with you) as the legal basis for such transfer.

For Canadian residents: Your data is transferred to the United States under the contractual necessity exception recognized under PIPEDA. You have the right to contact our privacy officer at privacy@assignmentdesk.com to inquire about our data handling practices.

California Residents (CCPA/CPRA)

Your Rights

  • Right to Know — You may request disclosure of the categories and specific pieces of personal information we have collected about you.
  • Right to Delete — You may request deletion of your personal information, subject to certain exceptions (e.g., tax records we are legally required to retain).
  • Right to Correct — You may request correction of inaccurate personal information.
  • Right to Opt-Out of Sale/Sharing — Assignment Desk does not “sell” personal information in exchange for monetary consideration. However, certain data sharing with advertising partners (Facebook Pixel, Google Analytics) may constitute “sharing” under the CPRA's broad definition. You may opt out by clicking “Your Privacy Choices” in the site footer, by sending a Global Privacy Control (GPC) signal, or by emailing privacy@assignmentdesk.com.
  • Right to Limit Use of Sensitive PI — We collect Social Security numbers/tax IDs and financial account information for payment processing and tax compliance purposes. This sensitive PI is used solely for those purposes and not for profiling. You may request that we limit the use of your sensitive PI by contacting us.
  • Right to Non-Discrimination — We will not discriminate against you for exercising your CCPA/CPRA rights.

Authorized Agents: You may designate an authorized agent to make requests on your behalf by providing a signed written authorization or power of attorney.

Response Timing: We will respond to verifiable consumer requests within 45 days, extendable by an additional 45 days with notice.

Virginia, Colorado, Connecticut, and Other State Residents

Residents of states with comprehensive consumer privacy laws (including Virginia, Colorado, Connecticut, Utah, Oregon, Texas, Montana, Delaware, Iowa, New Hampshire, New Jersey, Tennessee, Indiana, and Minnesota) have rights that may include: access, correction, deletion, data portability, and opt-out of targeted advertising, profiling, and sale of personal data.

To exercise these rights, contact privacy@assignmentdesk.com. We will respond within the timeframe required by your state's law (typically 45 days). If we decline your request, you have the right to appeal; we will provide instructions for the appeal process with our response.

13. Data Breach Notification

In the event of a data breach affecting your personal information, Assignment Desk will notify affected individuals and relevant regulatory authorities as required by applicable law. South Carolina law (S.C. Code Ann. § 39-1-90) requires notification to affected residents without unreasonable delay. We will provide notice via email, with supplemental notice by mail or phone as circumstances require. If the breach involves Social Security numbers and affects South Carolina residents, we will offer 12 months of credit monitoring at no cost.

14. Automated Decision-Making and Profiling

Assignment Desk uses automated systems to assist in crew selection and ranking, including:

  • Crew Ratings — Bayesian-smoothed 1–5 star ratings based on coordinator feedback after each shoot.
  • Round-Robin Assignment — Algorithmic crew selection that balances availability, location, ratings, and client preferences.
  • Leaderboard Scoring ��� Monthly performance rankings based on shoot volume, ratings, and reliability.

These automated systems assist human coordinators in making decisions but do not make final crew selection decisions without human oversight. For a complete, transparent explanation of how our crew selection algorithm works, visit our Transparency page.

You have the right to request human review of any automated decision that significantly affects you. Contact privacy@assignmentdesk.com to exercise this right.

15. Third-Party Links

The Service may contain links to third-party websites and services. Assignment Desk is not responsible for the privacy practices or content of third-party sites. We encourage you to review the privacy policies of any third-party site you visit.

16. Google API Data

Assignment Desk's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We access Google Calendar data solely to synchronize crew availability and shoot schedules.
