A Freelance Crew Member Synced Her Calendar and Never Double-Booked Again

TL;DR

A freelance crew member connected her Google Calendar and never had a scheduling conflict again. Here is how calendar sync works and how to set it up in 2 minutes.

Double-booking is the freelance crew member's nightmare. You confirm a shoot for Thursday, forget to update your calendar, and then accept another offer for the same day. Now you are canceling on someone, damaging a relationship, and hurting your reliability score. It has happened to all of us.

The fix is simple: sync your calendar.

How It Works

Assignment Desk connects to Google Calendar, Microsoft Outlook, and any iCal-compatible calendar. Once connected:

  • Booked shoots automatically appear on your personal calendar as events with date, time, location, and shoot details
  • Your busy times are reflected on the platform — if you have a personal event or another gig on your calendar, coordinators can see that you are unavailable without you having to manually update anything
  • Updates sync both directions — cancel a shoot on the platform, it disappears from your calendar. Block out vacation days on your calendar, the platform reflects it.

Setup Takes 2 Minutes

  1. Go to your portal calendar settings
  2. Click "Connect Calendar" and choose your provider
  3. Authorize the connection
  4. Done. Your shoots and availability are now synced.

Why This Matters for Bookings

When a coordinator is building a crew list, they check availability. If your calendar shows you are available, you get the offer. If it shows a conflict, they move to the next person. An accurate calendar means you get offered every gig you are actually available for — and none of the ones you are not.

No more "sorry I forgot I had something that day." No more double-bookings. No more damaged relationships. Just sync your calendar.
