Kailee Built a Do-Not-Use List and a Preferred List — Her Clients Love Her for It

Kailee Hood

TL;DR

Kailee's clients never accidentally rebook a bad crew member — and they always know who the go-to people are. Here is how preferred and Do-Not-Use lists work.

One of the first things I do when onboarding a new client is ask them two questions: "Who are your go-to crew members?" and "Is there anyone you never want to book again?"

Those two lists — preferred and Do-Not-Use — are the foundation of smart crew management. And on our platform, they are shared across your entire team.

How Preferred Lists Work

When you mark a crew member as preferred, they get a visual indicator in your crew directory view. When your coordinators are building a crew list for a new shoot, they see preferred crew first — highlighted, easy to spot, and backed by your team's collective experience.

Over time, your preferred list becomes your company's institutional knowledge about great crew. It does not leave when a producer changes jobs. It does not get lost in someone's email contacts. It lives on the platform, accessible to everyone on your team.

How Do-Not-Use Lists Work

The Do-Not-Use list is just as important. When you block a crew member, they disappear from your team's view of the directory entirely. No one on your team can accidentally book them. No one has to remember "oh wait, didn't we have a problem with that person?"

Importantly, Do-Not-Use designations are company-scoped. They only affect your team's view. They have zero impact on the crew member's global ranking or their visibility to other clients. This is not a public blacklist — it is your private curation.

Why Clients Love This

The production companies I work with tell me the same thing: the preferred/blocked system saves them time, prevents embarrassing rebooking mistakes, and — most importantly — creates a shared crew intelligence layer that makes every coordinator on their team better.
